How To Write A Formal Letter

Many times we have to write an important letter and we don’t know where to start, nor what exact information to put. Here I leave you the steps to make a letter correctly.

Instructions for writing a formal letter

  1. To start above all we will write the addresses. We will write the sender‘s address in the upper right corner of the letter. As well as our address we will write it on the left, starting below your address. It is advisable to write the month with letters.
  2. We start the letter. To greet the person we are going to address there are different options, one of them is: ” Dear Sir or Madam “, if you do not know the name of the person you are addressing, you can always put the last name, in case you do not know either You know, leave it as it is, “Dear Sir or Madam” you can simplify the way of addressing the person according to: Mr. -> Sir, Mrs. -> Madam, Miss -> Miss, Dr. -> Doctor, etc.
  3. If we are going to write the content of a formal letter. We have to be clear that a letter will always have three parts, which are:

• Introduction: – A brief explanation of what we want to deal with, whether it is making a query, complaint, asking for something, etc.

• The body: (will have an extension of 2 to 4  paragraphs ) containing the relevant information. Where we will clearly explain our purpose of the letter, explaining it in a clear, orderly and logical way.

• The conclusion: – The final paragraph(suggested action to be taken, closing remarks, express understanding, promises, etc.)

Completion of a Letter. To say goodbye we will end with a: « Sincerely » or « Receive a cordial greeting » and we will sign.
